Duties and Responsibilities :
Reporting directly to Project Control Manager.
Control of all incoming and outgoing documents, letters, drawings (from Bid stage up to commissioning of projects), Brochures, Product Catalogues and Data Sheets, RFI’s, TQ’s, Quotations, Design Calculations, Technical specifications and Product Data Sheets, Pre-qualification documents, Sub-vendor documents, etc.
 Copying and distribution/transmission of documents to all concerned parties (internal and external) as per the company document control policy and procedures.
 Tracking and Following-up with concerned parties to close their tasks within the agreed schedule.
 Upload / Download documents to/from EDMS such as Aconex (BACS Consortium for Riyadh Metro Project-Saudi Arabia) and other web based customized EDMS software using multi-national EPC companies (MHI-Japan, Hanwha-Korea, Dragados-Spain, Samsung Engineering-Korea, Thyssenkrupp-Germany, SNC-Lavalin-Canada, Techint-Italy, Snamprogetti-Italy).
 Preparing and Maintaining files (Electronic & Hard copies), Logging, Tracking and update files with latest revisions/versions.
 Updating and maintaining of Engineering and Technical Codes, Specifications (Local and international) and other documents with latest revisions / editions.
 Transmission of Approval packages to clients (Drawings, Calculations, Product Specifications and Data, Product Samples, QA/QC Documents, Pre-Qualification Documents) both hard copies and soft copies and follow-up with concerned parties to make sure to return back with approval within the time schedule agreed.
 Preparation of MDB/MDR and As-Built Documents in coordination with concerned departments for final submission to End Clients to close-out the projects.
 Preparing Power Point presentation for meeting with EPC contractors, Company Board meeting, Sales Meeting, Mega Project Kick-off meeting, etc.,
 File and Data Management for easy retrieval of hard and soft copies.
 Scanning of Documents and Drawings (A4 size to A0 size) and converting them to different file formats for Transmission and Archiving purpose.
 Using e-mail for internal and external communication and SAP for internal Project processing.
 Providing administrative support to the concerned team as required.
 Coordinate with all internal departments and collect necessary reports and information to prepare / compile final report for Top Management.
 Issuing of CPAR (Corrective/Preventive Action Request) for any complaint/s raised by the customer (Contractor or End client) and address to concerned departments and ensure to meet the requirement/s of customer before close the issue.

 Additional duties (using ERP-SAP)
1. Processing of New confirmed orders and on-going projects thru SAP PS (Project System) module.
2. Creating complete project structures (WBS) and release to concerned departments.
3. Creating and uploading documents to SAP EDMS and release to various departments within the company.
4. Checking and verifying project pricing v/s estimation.
5. Creating and updating Sales Orders under SAP SD Module.
6. Updating of Finished Goods/Material including Project details, priority number, piece mark, quantity, materials type and group for all projects released by PLM (Product Lifecycle Management).
7. Checking and releasing of WBS elements requested by other departments to complete the tasks assigned to concerned departments.
8. Encoding of project activities and extracting from SAP as requested by Finance group.
