Job Summary:
The Sales Coordinator is responsible for providing administrative support to the Sales team, ensuring smooth operations and effective communication across departments. This role involves managing inquiries, coordinating appointments, maintaining records, and assisting with reports, while upholding high standards of customer service.
Responsibilities:
- Handle incoming telephone calls and inquiries, providing courteous and professional responses.
- Maintain an organized and efficient filing system, both manually and electronically, ensuring accuracy in records.
- Support the Sales team by preparing and consolidating sales reports, contracts, and quotations.
- Coordinate appointments, interviews, and travel arrangements for the Executive Office.
- Assist with the organization of hotel inspections, guest boardroom setups, and event logistics.
- Maintain accurate databases and follow up on business leads as assigned.
- Liaise with relevant departments to ensure guest requests and expectations are met.
- Prepare and distribute weekly and monthly sales reports, ensuring timeliness and accuracy.
- Assist with market surveys, competitor research, and distribute relevant hotel information to clients.
- Organize and prioritize incoming and outgoing correspondence, ensuring timely communication.
- Support the Sales team in following up with clients, handling guest inquiries, and maintaining strong client relationships.
Requirements:
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office, especially Excel and Word, and familiarity with sales software like OPERA.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment, meeting deadlines and handling multiple tasks.
Level of Education:
- Diploma or degree in Business Administration, Hospitality, or a related field is preferred.
Work Hours:
- Full-time position with flexibility, including occasional weekends and holidays based on business needs.
Experience in Months:
- Minimum 24 months in an administrative or sales support role, preferably in the hospitality industry.
