Job Summary:
We are seeking a dedicated and dynamic Reservations Supervisor to manage the daily operations of our reservations department. The ideal candidate will ensure smooth communication, accurate bookings, and provide exceptional customer service to enhance guest satisfaction.
Responsibilities:
- Oversee daily reservations, including processing and managing bookings, cancellations, and no-shows.
- Monitor VIP arrivals, special requests, and ensure all specific guest preferences are actioned.
- Review upcoming reservations for the next two weeks, identifying sales opportunities and communicating with the sales team to fulfill leads.
- Maintain thorough knowledge of the hotel's product offerings, rate structures, and apply effective rate management practices.
- Manage visa requests for international guests, ensuring pending or expiring visas are processed or addressed promptly.
- Send confirmation for new reservations and follow up on any pending or unconfirmed bookings.
- Answer all incoming calls professionally, ensuring all guest inquiries are handled efficiently according to hotel standards.
- Organize and manage guest transportation with the hotel’s driver, ensuring smooth transfers and timely follow-ups.
- Collaborate with the front office, housekeeping, and sales teams to ensure seamless guest experiences.
- Regularly check emails and faxes, inputting information and responding in a timely manner.
Requirements:
- Bachelor’s degree in hospitality or a related field.
- Previous experience in hotel reservations or a similar role is essential.
- Proficiency in computer systems, particularly hotel management software.
- Excellent written and verbal communication skills in English; additional languages are a plus.
- Strong organizational and multitasking abilities.
- Customer-focused, with excellent problem-solving and decision-making skills.
- Ability to work in a fast-paced environment while maintaining a high level of professionalism.
- Team player with a proactive approach to managing guest needs and operational challenges.
