Job Summary:
The Event Planning Coordinator is responsible for managing all aspects of event coordination, from lead generation to successful event execution. This role involves understanding client needs, organizing events, and working closely with hotel operations to ensure events exceed expectations while adhering to all legal and company standards.
Responsibilities:
- Lead Generation and Sales:
- Identify opportunities for business growth by maintaining and expanding the customer database.
- Convert leads into business opportunities to meet personal sales targets.
- Client Relations and Proposals:
- Understand client requirements and provide tailored proposals that best fit their event needs.
- Conduct site inspections, highlighting the hotel's unique selling points.
- Event Coordination:
- Plan and manage events from start to finish using the hotel’s event management system.
- Coordinate group movements in the hotel, ensuring smooth operations and attention to detail.
- Communication and Operations:
- Collaborate with relevant departments to ensure flawless event execution.
- Handle guest and employee inquiries professionally, ensuring timely resolution of issues.
- Compliance and Standards:
- Ensure all events comply with laws, regulations, and hotel policies.
- Maintain positive working relationships with guests and colleagues to ensure smooth interactions.
- Post-Event Evaluation:
- Gather client feedback after events and suggest improvements for future functions.
Requirements:
- Excellent organizational, communication, and problem-solving skills.
- Strong sales and customer service capabilities with attention to detail.
- Ability to multitask and work in a fast-paced environment.
- Experience with event management software or systems.
- Current knowledge of industry trends and legal regulations is an advantage.
Level of Education:
- Diploma or degree in Hospitality Management, Event Planning, or related field preferred.
Work Hours:
- Full-time with flexibility for evening and weekend shifts depending on event schedules.
Experience in Months:
- Minimum of 24 months of experience in event planning, sales, or hospitality-related roles.
