Job Descriptions:
Executive Secretary
Provide executive secretarial support to the Managing Director and other divisional heads.
Coordinate and facilitate the calendar of the Managing Director and other Divisional heads
to arrange travel, appointments, meetings and conferences.
Read and analyze incoming memos, submissions, and reports in order to determine their
significance and plan their distribution.
Prepare reports, presentations and correspondence accurately and swiftly.
Establish work procedures and keep track the daily schedule of the team to ensure projects
are completed on time.
Handle and prioritize incoming and outgoing faxes and emails.
Screen telephone calls and take messages or forward calls to appropriate departments,
when necessary.
Assist customers with inquiries regarding price, installation and delivery. Responds to and
resolves customer complaints in a professional manner.
File and update contact information of all the employees, customers, suppliers and external
partners.
Maintain and manage general filing system and file all correspondence.
Professionally greet and receive guests and clients.
Ensure that the office area has adequate supplies at all times.
Arrange hotel booking and ticket for all employees.
Purchasing Officer
Compare and negotiate offers/contracts from suppliers.
Evaluate and monitor contracts to be sure that suppliers comply with the terms and
conditions of the contract and to determine the need for changes.
Prepare technical specifications for a request for proposals, including terms and
conditions.
Prepare local and International purchase order.
Manage and maintain purchasing documents, files and records to ensure the availability of
documentation and compliance with established policies and regulatory guidelines.
Follow up orders to ensure that all materials are shipped and delivered on promised dates.
Conduct inspection of products to ensure quality and adherence to specifications.
Manage and Maintain updated records of purchased products, delivery information and
invoices.
Ensure that any invoices are sent to accounts for payment.
Accounts Assistant
Handle invoices and delivery notes of the suppliers to ensure details are matched with purchase orders. Returning all invalid documents as and when necessary.
Issue Proforma/tax invoices and delivery notes to the clients.
Follow up and handle cheque/cash payment collections from clients and to suppliers.
Prepare international and local funds transfer, cheque and cash payment.
Prepare cash/cheque deposit slip, payroll/WPS salary and financial statement.
Maintain and Handle petty cash and cash flow system.
