Job Summary:

The Coordinator, VIP Services is responsible for delivering exceptional hospitality experiences for VIP guests through detailed itinerary planning, personalized correspondence, and seamless coordination of services. This role involves managing guest queries, coordinating with internal and external stakeholders, and handling day-to-day operations and administration of VIP services to ensure the highest level of guest satisfaction.

 

Responsibilities:

  • Plan and coordinate itineraries, including transportation, hotel arrangements, and activity bookings for VIP guests.
  • Prepare and manage all aspects of guest stays, focusing on personalized Butler services.
  • Handle guest queries efficiently, ensuring clear communication and timely responses to meet high standards of service.
  • Coordinate with internal departments and external partners to fulfill guest requirements.
  • Manage and track daily departmental operations, maintaining organized records and reports.
  • Assist with VIP guest arrival preparations and room checks to ensure a seamless experience.
  • Anticipate guest needs, adjusting itineraries as needed to exceed expectations.
  • Monitor guest feedback and implement improvements to enhance VIP service quality.

 

Requirements:

  • Diploma or degree in Hospitality Management, or related discipline preferred.
  • Proficiency in Opera or similar booking software commonly used in luxury hospitality.
  • Strong organizational skills with attention to detail and ability to multitask in a fast-paced environment.
  • Exceptional communication skills, both verbal and written.
  • Ability to read social cues and provide high-quality, tailored guest service.

 

Level of Education:

  • Diploma or Bachelor’s degree in Hospitality, Tourism, or related field preferred.

Work Hours:

  • Full-time, with flexibility for evening and weekend shifts as needed.

Experience in Months:

  • Minimum of 24 months (2 years) in a customer-facing, luxury hospitality role, ideally in a VIP services or guest relations capacity.
