Secretary cum Accounts Assistant
• Perform various Secretarial/Clerical duties such as receiving and replying emails , faxing, photocopying and file organizing.
• Prepare materials for quotation to Chinese agents.
• Prepare Purchase Order for materials to be imported from China .
• Check the accuracy of the Proforma Invoice received from Chinese agent.
• Check the accuracy of the Shipping Documents received from China.
• Follow up the arrival date of the ship from the shipping office in Dubai
• Clearing of the container in Dubai Port in case the Warehouseman is not available .
• Costing of imported materials as per USD rate.
• Compute and update the selling prices of all imported materials for Outdoor Sales and Showroom Sales and distribute the updated list to all Sales Staff and Warehouse Staff.
• Maintain electronic and hard copies of all imported materials .
• Prepare the list of imported materials arriving as per Proforma Invoice and Commercial Invoice and distribute to all Sales Staff and Warehouse Staff.
• Update the files of all delivered materials from China.
• Costing of year end inventory of materials in Warehouse and Showroom.
• Perform Accounts work such as costing of all materials sold daily by Outdoor Sales and
Showroom Sales.
• Cheque preparations from time to time .
• Update the daily list of PDC Cheques .
• Encode daily Outdoor sales and Showroom sales in the accounts system .(Focus & Peach Tree)
• Prepare monthly summary of Sales and Profit for Outdoor Sales and Showroom Sales
• Prepare monthly cash and cheque payables.
• Prepare monthly summary of VAT payables.
